Care Plan Terms

Care Plan is an optional monthly subscription of £35 including VAT that keeps the website we built you online and up to date. It is billed monthly in advance via Stripe, starting on the date shown on your receipt.

Care Plan is supplied to businesses. By subscribing you confirm you are buying it for your business, whether you trade as a sole trader, a partnership or a limited company.

• Unlimited text and image changes, under fair use. This covers text changes, image swaps, opening-hour updates, price tweaks, adding or removing team members, updating the FAQ, and similar edits to what is already there. See section 8 for what fair use means in practice.
• Completed work added to your site. When you finish a notable job, send us the photographs and the details and we will add it to your site's projects section in the site's agreed format. This keeps your website current with what you have actually done, without a rebuild and without a quote for each addition.
• Priority email support. Replies within 24 hours on UK business days (Monday to Friday, excluding UK bank holidays). Non-urgent weekend queries are answered on the next business day.
• Hosting, SSL, daily backups, and uptime monitoring. Hosting is included for as long as your Care Plan is active. There is no separate hosting fee and no annual hosting renewal.
• One-click cancellation. Every Care Plan email contains a secure cancel link. You can also cancel from your customer portal or by emailing us.

Care Plan is for maintenance, not new work. The following fall outside the plan and will be quoted separately:

• New page types, new features, or major redesigns
• E-commerce setup, payment gateway integration, or checkout customisation
• Third-party integrations (Mailchimp, Zapier, CRMs, booking systems, etc.)
• Ongoing SEO work, content writing beyond minor edits, or copywriting for new pages
• Logo design, brand work, or photography
• Custom code, custom plugins, or database migrations
• Work requested on behalf of third parties (we only take instructions from the account owner)

If you ask us to do something that falls into these categories, we will reply with a fixed quote before starting any work.

Reply to any email we have sent you, or email us at studio@vividbeginnings.co.uk with "Care Plan update" in the subject. Include the exact text you want changed and any images as attachments. The clearer the request, the faster we can ship it.

• First three months free. When you take the Care Plan with a new website, the first three calendar months cost nothing, and so do any days between the end of those three months and the next 1st of the month. Your first payment of £35 is taken on that 1st, and on the 1st of every month after that. The date is printed on your receipt. We will email you around ten days before the first payment, and again three days before, so there are no surprises.
• Adding it within 30 days. If you add the Care Plan within 30 days of buying your website, you get the same free period as if you had taken it at checkout: your first payment falls on the same 1st it would have fallen on then, and the free months are counted from the day you bought the website, not the day you subscribe.
• Adding it after that. If you add the Care Plan to an existing website more than 30 days after buying it, billing starts on the day you subscribe and recurs monthly on that date.
• VAT is included in the displayed price. The price you see is the price you pay.
• Payment is processed by Stripe. We do not store your card details.
• Prices may change with 30 days notice via email. Existing subscribers are held on their current price until they actively re-subscribe at the new rate.

You can cancel any time. Cancellation takes effect at the end of the current billing period. You will keep Care Plan benefits until that date, and no further charges will be taken. We do not pro-rate partial months.

If cancelled during the free trial, no charge is taken and access to Care Plan features ends at your trial end date.

You own your website outright, including the code. After cancellation your website stays online until the end of your current paid period. After that we will provide an export of your website files so you can host it wherever you like, or we can quote a one-off fee to move it for you. We will always contact you before taking a website offline.

If a card payment fails, Stripe will attempt the charge again up to four times over the following two weeks. You will receive an email with a link to update your card each time. If all retries fail, Care Plan is suspended until a successful payment is made. We will never cancel your Care Plan for a single failed payment without contacting you first.

"Unlimited" means we do not count your requests or hold you to a monthly allowance. Send us changes as often as you need them. Fair use simply means the changes are to content that already exists on your site: wording, images, prices, hours, team members, FAQ entries and the like.

What it does not cover is new work dressed up as an edit, such as building new pages, adding new features, or a full rewrite of the site. If a request crosses that line we will tell you, and quote a fixed price before doing anything. If requests become sustained enough to look like an ongoing project rather than maintenance, we will get in touch to discuss it rather than silently refusing work.

Our liability is limited to the amount you have paid for Care Plan in the preceding twelve months. We are not liable for consequential losses (lost revenue, lost customers, reputational damage) arising from any update we make on your behalf.
