Care Plan Terms

1. What Care Plan is
Care Plan is an optional monthly subscription of £19 that covers ongoing maintenance of the website we built you. It is billed monthly in advance via Stripe, starting on the date shown on your receipt.
2. What is included
- Up to 30 minutes of content updates per month. This covers text changes, image swaps, opening-hour updates, price tweaks, adding or removing team members, updating the FAQ, and similar small edits. Unused minutes do not roll over.
- Priority email support. Replies within 24 hours on UK business days (Monday to Friday, excluding UK bank holidays). Non-urgent weekend queries are answered on the next business day.
- Hosting, SSL, daily backups, and uptime monitoring. While your Care Plan is active, you are not charged the £49 annual hosting renewal.
- One-click cancellation. Every Care Plan email contains a secure cancel link. You can also cancel from your customer portal or by emailing us.
3. What is NOT included
Care Plan is for maintenance, not new work. The following fall outside the plan and will be quoted separately:
- New features, new pages, or major redesigns
- E-commerce setup, payment gateway integration, or checkout customisation
- Third-party integrations (Mailchimp, Zapier, CRMs, booking systems, etc.)
- Ongoing SEO work, content writing beyond minor edits, or copywriting for new pages
- Logo design, brand work, or photography
- Custom code, custom plugins, or database migrations
- Work requested on behalf of third parties (we only take instructions from the account owner)
If you ask us to do something that falls into these categories, we will reply with a fixed quote before starting any work.
4. How to request an update
Reply to any email we have sent you, or email us at studio@vividbeginnings.co.uk with "Care Plan update" in the subject. Include the exact text you want changed and any images as attachments. The clearer the request, the faster we can ship it.
5. Billing
- Business package: Care Plan is free for the first three months. We will email you ten days before the first charge so there are no surprises. On day 91, your card is charged £19 and every month on the same date thereafter.
- Starter package: Care Plan is optional. If you opt in at checkout, £19 is charged on the same day as your one-off package fee, and every month on that date thereafter.
- VAT is included in the displayed price.
- Payment is processed by Stripe. We do not store your card details.
- Prices may change with 30 days notice via email. Existing subscribers are held on their current price until they actively re-subscribe at the new rate.
6. Cancelling
You can cancel any time. Cancellation takes effect at the end of the current billing period — you will continue to have Care Plan benefits until that date, and no further charges will be taken. We do not pro-rate partial months.
If cancelled during the free trial, no charge is taken and access to Care Plan features ends at your trial end date.
After cancellation, your website remains hosted with us until the end of your free hosting year, after which the standard £49 annual hosting fee applies.
7. Failed payments
If a card payment fails, Stripe will attempt the charge again up to four times over the following two weeks. You will receive an email with a link to update your card each time. If all retries fail, Care Plan is suspended until a successful payment is made. We will never cancel your Care Plan for a single failed payment without contacting you first.
8. Fair use
The 30-minute monthly allowance is a genuine allowance, not a hard ceiling — if a request takes 35 minutes, we will not refuse it. However, if usage consistently exceeds the allowance across multiple months (more than twice in a rolling six months), we may get in touch to discuss a higher-tier plan.
9. Liability
Our liability is limited to the amount you have paid for Care Plan in the preceding twelve months. We are not liable for consequential losses (lost revenue, lost customers, reputational damage) arising from any update we make on your behalf.
